Pre-inspect first: one visit instead of two

The mistake that costs the most on a DOT annual is treating the inspection as a test you either pass or fail. Run it in the sensible order and it is one visit: we pre-inspect, tell you exactly what would fail, you decide what to fix, we fix it and then the unit is inspected and signed off. Arrive without that step and a failed item means a second trip, a second block of downtime and a truck that is out of service in the meantime.

What fails most often

Very little of it is exotic. Across the units that come through this shop, the repeat offenders are:

• Brakes — out-of-adjustment slack adjusters, worn linings, cracked drums, and air loss beyond the allowed rate. This is the single biggest category and the biggest out-of-service trigger.
• Tires — tread depth below the limit on a steer axle, sidewall damage, mismatched duals, exposed cord.
• Lights and wiring — trailer lamps, connectors and grounds. The cheapest thing on the list and the most commonly missed.
• Steering and suspension — kingpin play, loose tie rods, broken leaves, failed air bags.
• Wheel seals and hubs — leaking seals are an obvious visual for an inspector and a bearing failure waiting to happen.
• Frame, coupling and exhaust — cracks, worn fifth-wheel components, leaking exhaust ahead of the cab.

Tractor and trailer in the same visit

Both units need their own annual, and the due dates drift apart once you start doing them separately. Bringing the pair in together is one block of downtime instead of two, and the paperwork comes back matched.

What it costs

A DOT annual inspection is $80. Shop labour for anything found starts at $130 per hour. If the unit also needs the CARB emissions test for running into California, that is $150 and it can be done on the same visit.

For fleets: put the calendar somewhere it will be seen

The practical failure mode in a fleet is not the inspection, it is losing track of which unit is due when. We keep due dates for units on a fleet account and flag what is coming in the next thirty, sixty and ninety days, so annuals land in planned downtime.
